Refunds, deposits, and missed walkthroughs

These rules apply to pipeline health reviews, incident recap sheets, operational charting commissions, and standing health watches booked with Data Streambase Analytics. They do not cover goods in the post, software licences, or subscriptions — we do not sell those.

Eligibility

A refund is possible when we have not yet opened the observation window, when we cancel, or when a deposit sits on a date we cannot meet. Once drafting has started, money already earned for time spent is not returned in full.

Timeframe

Ask in writing to info@data-streambase.digital within fourteen days of the event you want considered (a cancellation, a missed walkthrough, a folio you reject for a named fault in the marks). Requests after fourteen days are taken only where Georgian law requires it.

Full refund

You receive the deposit back if you cancel at least seven full days before the observation window opens, or if we cancel and you do not want a new window. You also receive a full refund if we cannot obtain the logs we were promised for a reason on our side and we cannot redraw the calendar.

Partial refund

If you cancel fewer than seven days before the window, we keep forty percent of the agreed fee for the held calendar and return the rest of anything already paid. If drafting has begun, we keep fees for days already worked, itemised, and return the unused remainder.

Non-refundable

Time already spent reading logs and drawing marks. A Tbilisi install visit that already happened. Paper stock cut for a wall chart after you approved the sketch. A watch month that has already been issued.

Process

Write with the engagement date, the feed family, and whether you want a new window or money back. We answer within five working days. Approved refunds leave within fourteen working days, by the same method you used to pay, unless you ask for a transfer to another Georgian account in the firm’s name.

Cancellation and rescheduling

You may move a walkthrough once, with three working days’ notice, at no charge. A second move, or a move with less notice, is billed as extra chair time. We may move a window if logs arrive late; that is not a cancellation by you.

Deposits

The forty percent deposit holds the observation window. It is credited against the final fee. It is returned under the full-refund cases above. It is not a separate product.

No-shows

If nobody from your crew sits the walkthrough and you did not write ahead, the hour is spent. We will file the folio as drafted and will not refund the walkthrough portion. A new hour is a new charge.

Work already started

Observation days that have run cannot be un-run. Recap reading of a named night cannot be undone. You still receive whatever draft exists; it may be thinner than a filed folio.

Standing watches

Unused months after a written stop are refunded. Months already issued are not. The three-month minimum is charged even if you stop in month two, unless we failed to issue a sheet.

Exceptions

If marks on a filed folio are factually wrong against the logs we were given, we redraw at no charge. If the logs were incomplete because your side withheld them, that is not our fault and not a refund.
